Working with an AI consultant: your questions answered
An AI consultant helps you decide where AI belongs in your business, set it up and test whether it helps. Here we explain how we work, what your people still control and what to expect before you commit.

An AI consultant turns a business task into a practical plan, tool setup or workflow that your team can use and check. We review how the work happens, choose the simplest suitable option, test it on your documents and train your people. We can also provide ongoing support once the setup is in use.
We work with Australian businesses of roughly 10 to 150 staff, particularly professional and technical firms. Useful starting tasks include proposals, tender checking, report preparation, client correspondence and finding past work. Any business that runs on documents, email and know-how is welcome. We assess the task before recommending a tool or build.
We agree a fixed fee in writing before starting, with a defined scope and deliverables. There are no lock-in contracts. Most businesses begin with a review to establish the first useful task and what further work would involve. We agree any subsequent setup, build, training or support before that work begins.
Our review takes about two weeks, and setup and building typically take two to six weeks. We use the review to agree the task, required access and tests before setting the delivery scope. Training and handover are part of setup. Support is available on an ongoing, month-to-month basis after the workflow is in use.
We build in your systems, usually Microsoft 365 and SharePoint, and agree access before using your files. We use business-grade AI accounts that do not train on your data, offer a confidentiality agreement (NDA) and delete working copies at the end. We agree the data handling in writing, including which information is needed and where it will be processed.
For businesses covered by the Australian Privacy Act, using AI does not remove privacy obligations. We discuss what personal information a workflow needs, who can access it, and where it is processed or disclosed, including overseas. The OAIC's guidance on using AI explains the general considerations. We provide implementation support; questions about your legal obligations belong with your legal adviser.
We compare tools such as Microsoft 365 Copilot and ChatGPT Enterprise on your actual task. Copilot works within Microsoft 365 apps, with features depending on your licence and setup. ChatGPT can help draft and analyse supplied material. We test the same task with approved inputs, check what each account can access and compare the effort to verify the result before recommending a setup.
Your staff do not need technical knowledge to start. They need to understand the task, the information the tool may use and what a correct answer looks like. Our team training uses their own work to practise giving instructions, checking sources and recognising when an output needs correction or a human decision.
We start inside the systems you already use, usually Microsoft 365 and SharePoint, and consider your industry software where it helps. A better template or tool setup may be enough. If a workflow needs a connection to another system, we define the required access and steps with you before agreeing to build it.
We set up the workflow around approved source documents and require factual claims to link to the evidence. Missing information should produce a visible gap. We test known errors, conflicting files and questions the sources cannot answer before your team relies on it. People still review the output, because a source link alone does not prove a statement is correct.
We focus on reducing the searching, checking and first-draft work around your staff's expertise. Your people keep responsibility for judgement, client advice and approval. We measure whether the whole task takes less effort, including review. Any capacity freed can be used for other work; it is not automatically a cash saving.
We work remotely with businesses anywhere in Australia and in person around Melbourne. We agree how to observe the workflow, get access to approved material and involve users and reviewers. The review, testing and training still need the right people participating, so we plan those sessions with your team before starting.
We train staff and hand over the workflow and documentation so your team can run and maintain it. If you want continued help, our ongoing AI partner service covers keeping it running, reporting results each month and reviewing possible next steps. Support is month to month, with no lock-in contracts.
You own everything we build, including the files and documentation. We use your systems and accounts, usually Microsoft 365 and SharePoint. There are no lock-in contracts. You can finish after the agreed project or choose month-to-month support, with the scope and fixed fee agreed in writing before starting.
We can help with tool choice, account setup, access and practical training without building a custom system. Tools such as Microsoft 365 Copilot or ChatGPT Enterprise may meet the need once configured for the task. Our tools and setup service starts with what your team needs to do and which information it may use.
We consider a custom workflow when a repeated task needs steps or checks that simpler options cannot provide. First we assess a better process or template, tools you already have and existing products. A custom build needs a defined owner, approved inputs, a review step and a measurable reason to choose it.
We record how the task works today, agree a target and test against completed examples with known answers or mistakes. Measures can include total preparation and review time, missed requirements, corrections and regular use by staff. We include checking effort in the comparison and distinguish hours freed from money actually saved. We do not promise a saving in advance.
Start with a 30-minute call about one task your team repeats: who does it, how often, where the information lives and what makes it difficult. You can discuss the work without sending confidential files. If a review is useful, we agree the scope and fixed fee in writing. Our AI strategy review explains that first step.
