What Microsoft 365 Copilot setup includes
Microsoft 365 Copilot setup gives staff an agreed way to use Copilot on defined tasks, with approved information and clear review responsibilities. We work in your own systems, usually Microsoft 365 and SharePoint, so your business owns the accounts, files and documentation.
We agree what a useful result looks like before assigning access. A report summary needs an approved source, with limitations and exceptions preserved. An email draft needs an authorised person to review the facts and send it. We build those checks into the pilot.
Who a focused Copilot rollout is for
A focused Copilot rollout suits a business that wants a small group using AI consistently before extending it to more staff. We work with Australian businesses of roughly 10 to 150 people, particularly professional and technical firms.
You may be considering licences, paying for tools that staff rarely use or seeing people use separate accounts without shared rules. We start with the tasks and team involved. If the main difficulty is knowing where to begin, an AI strategy review can establish the priorities first.
What you receive at handover
You receive a working setup for the agreed pilot, with enough documentation for your business to manage it. We define the users, tasks and document locations in scope before starting.
- A tool recommendation tied to the chosen work, with account and licence requirements identified.
- A record of SharePoint permissions and oversharing checks in the agreed locations, including required fixes and their owners.
- Configured access for the pilot group, with changes documented for your administrator.
- A starter prompt library, meaning reusable instructions for your team's tasks, with source and checking requirements.
- Staff guidance covering permitted information, review responsibilities and how to report a problem.
- Pilot findings, an administration handover and a decision on whether to extend, adjust or stop.
Why SharePoint permissions come before Copilot
A SharePoint permissions and oversharing check comes before Copilot is introduced to the pilot group. We review who can open the intended source documents, including broad staff access and external sharing, with your administrator.
A folder containing client correspondence may need a narrower audience than a general procedures library. Document owners approve access changes, and we test with representative staff accounts. Access issues affecting the pilot must be resolved before confidential documents are used. The handover names the locations checked, changes made and any wider access questions for your administrator.
How setup works week by week
Set up and build typically takes two to six weeks once the work is scoped. A review, where needed, takes about two weeks first. The timetable depends on access decisions, document readiness and staff availability.
- 01Week 1: define the pilot and inspect accessWe choose tasks, users and source locations, record current handling time and agree quality checks. We review account requirements and permissions with your administrator before using confidential material.
- 02Week 2: configure and testWe set up the agreed tool and access, prepare prompts and test on approved examples. Staff check whether outputs preserve key facts, identify missing evidence and stay within the agreed use.
- 03Weeks 3 to 6, where needed: refine and hand overFor a broader scope, we address problems found in testing, practise tasks with staff and repeat the agreed checks. We hand over settings, guidance and results before deciding whether more users should receive access.
How we measure whether staff should keep using it
We compare the pilot with the same work done before setup, including review and correction time. We agree targets for completed tasks, factual accuracy and staff use, then report what the pilot actually shows.
We count completed, checked work when assessing the benefit. If staff cannot verify a claim, the output needs correction before use. A practical training programme can address repeated checking or prompting difficulties before access is widened.
How we handle data and security
We agree data handling in writing and use business-grade AI accounts that do not train on your data. Documents stay in your systems wherever possible. We confirm what information may be processed and where, offer a confidentiality agreement (NDA) and delete working copies at the end.
What we need from you
We need a business sponsor, your system administrator, document owners and a small pilot group. Provide approved task examples, relevant policies and time for staff to test outputs. Your team approves permission changes and anything sent to a client.
