Where AI for construction companies can help
AI can help assemble and check the paperwork around a job when the scope and source records are clear. We focus on tasks a project manager, estimator or planner can review against the original documents. The aim is less time gathering information and correcting avoidable omissions.
- Quotes and estimates: organise supplied scope notes, quantities and approved rates into a draft quote. Show inclusions, exclusions and items awaiting confirmation. Your estimator checks quantities, calculations, margins and the final price.
- Site reports: turn supplied site notes into your report format, retaining dates, locations, recorded observations and outstanding actions. Flag an incomplete observation instead of inventing what happened on site.
- Compliance packs: compare the required document list with the files provided. Prepare an index, link certificates and inspection records, and identify missing or outdated evidence for the project manager to resolve.
- Planning documentation: prepare an application checklist from the supplied requirements and organise supporting reports. For town planners, AI can also draft a response outline against supplied requests for further information.
- Property correspondence: prepare an owner update from approved project notes and consultant correspondence. Keep proposed dates separate from confirmed dates, and show which questions still need an answer.
What AI must leave to your people
Your people still approve pricing, assess safety, interpret requirements and sign off the work. AI does not inspect a site, certify construction or establish that an application will be approved. A complete-looking pack can still contain inadequate evidence.
We make document revisions part of the check. If the scope changes but the supporting quote does not, the output should flag that mismatch. An old inspection record must not be presented as proof of work completed after that inspection. These are tests for the workflow, not decisions to delegate to it.
How we choose the first job
We start with a recurring document task that has an identifiable source pack and reviewer. Bring a completed quote, report or submission, the files used to prepare it and an example of a correction your team had to make.
A focused AI strategy review helps decide whether the answer is a better template, a tool you already have or a workflow worth building. If the records are incomplete, we address that before asking AI to draft from them.
- 01Review, about two weeksIn the first week, we follow the task and measure preparation and checking time. In the second, we define the first workflow, approved document versions, access and checks it must pass. We agree what must trigger a question instead of a completed draft.
- 02Set up and build, typically two to six weeksWe set up the selected tool or build the missing steps in your systems. Tests use completed jobs with known omissions, conflicting revisions and missing attachments. We train the people preparing and approving the documents, then hand over the workflow and documentation.
- 03Support, month to monthIf you choose ongoing support, we monitor results and review changes to templates or document requirements. The fixed fee is agreed in writing before starting. There are no lock-in contracts, and you own everything we build.
How we handle job files and commercial information
We build in your systems, usually Microsoft 365 and SharePoint, using the project folders and permissions agreed with you. We check who should see subcontractor pricing, owner details and site records before connecting any files. One project's access should not expose another project's commercial material.
We use business-grade AI accounts that do not train on your data, offer a confidentiality agreement (NDA) and delete working copies at the end. We agree which records may be processed and where before starting. Tools and setup covers the practical choice of accounts and access.
How we judge whether it helps on a real job
We count the total effort to prepare and approve the document, including corrections. For a quote, that could mean time assembling the scope and fixing omitted exclusions. For a compliance pack, it could mean time locating evidence and identifying missing attachments. We agree the target before testing and keep any claimed saving tied to that specific task.
