Data management — reusable answer

Coldstream provides a controlled data workflow from field collection through to client import. The Project Manager agrees site identifiers, sample types, units, analyte names and qualifier conventions at mobilisation. We preserve original laboratory files and maintain a separate validated dataset, with a correction log showing who changed each released record and why. Non-detect results retain their qualifiers and detection limits rather than being replaced by zeros.

Validated field and laboratory data will be delivered within 20 business days of each sampling event. This allowance includes laboratory receipt, routine analysis, validation and management review. Unexpected results are escalated promptly rather than held until the scheduled data issue. The release pack includes laboratory reports, a completeness summary, QA/QC exceptions and an import file in the client's agreed format.

Our EQuIS-compatible delivery experience includes Bellfern and Tallowmere. We test location codes and analyte mappings before the first production upload, then check for duplicate sample identifiers, invalid dates, missing units and inconsistent qualifiers. The client can trace a reported value back to the field record and the laboratory report. A rejected test import is investigated and corrected before repeated use of the same mapping.

Project records sit in a restricted Microsoft 365/SharePoint project workspace with access controlled by role. The Project Manager approves release versions and maintains a register of deliverables. Backup and retention follow the agreed project requirements. This response contains a service commitment from a previous RFQ; the turnaround sentence must be compared with each new specification before reuse. It is not a laboratory capacity reservation or evidence of a tender-specific subcontract commitment.
